Associate Specialist, Workplace Experience

 

Role Purpose 

The Associate Specialist, Workplace Experience is responsible for delivering a safe, efficient, and consistently high-quality workplace experience across Pandora's Global Office locations in Copenhagen. 

  

The role ensures that workplace services, facilities operations, health and safety standards, and employee-facing environments operate seamlessly, enabling employees to do their best work. Through strong operational coordination, supplier management, and continuous improvement, the role contributes to a workplace that is welcoming, compliant, well-maintained, and aligned with Pandora's culture and service standards. 

  

Key Responsibilities 

Workplace Experience & Operations 

  • Ensure a consistently high standard across office spaces, meeting rooms, kitchens, collaboration areas, and employee amenities. 

  • Deliver a seamless workplace experience by proactively resolving operational issues and responding to employee needs. 

  • Conduct regular workplace inspections and drive follow-up actions to maintain quality, functionality, and presentation standards. 

  • Support a professional and welcoming experience for employees, visitors, and guests. 

 

Facilities & Supplier Management 

  • Ensure workplace services are delivered effectively through strong coordination of suppliers and service partners. 

  • Monitor supplier performance, drive service improvements, and resolve operational issues in a timely manner. 

  • Support effective management of workplace budgets, purchase orders, invoices, and operational spend. 

  • Maintain accurate workplace inventories and ensure facilities resources are available and fit for purpose. 

 

Health, Safety & Business Continuity 

  • Contribute to maintaining a safe and compliant workplace in accordance with Danish legislation and company standards. 

  • Coordinate workplace inspections, corrective actions, and safety initiatives to reduce workplace risk. 

  • Maintain clear workplace procedures, records, and documentation to support operational consistency and compliance. 

  • Support emergency preparedness, business continuity, and wellbeing initiatives across the Global Office. 

 

Workspace Planning & Projects 

  • Deliver office moves, seating changes, and workplace projects with minimal disruption to business operations. 

  • Ensure workspaces are fully operational and ready for employees from day one. 

  • Support continuous improvement initiatives that enhance workplace efficiency, utilisation, and employee experience. 

 

Employee Experience & Engagement 

  • Support the successful delivery of office events, workplace initiatives, and employee engagement activities. 

  • Build strong relationships with stakeholders across the business to understand needs and identify opportunities for improvement. 

  • Continuously seek ways to enhance workplace services, increase efficiency, and improve employee satisfaction. 

 

Skills & Experience 

  • Experience in workplace, facilities, office, hospitality, or community management. 

  • Strong organisational and stakeholder management skills. 

  • Service-oriented with a proactive and solution-focused mindset. 

  • Strong attention to detail and commitment to operational excellence. 

  • Experience coordinating suppliers and managing multiple priorities simultaneously. 

  • Comfortable working with workplace systems, technology, and AV equipment. 

  • Financial awareness and experience supporting budget management. 

  • Fluent in English and Danish, written and spoken.
