Join Pandora's Creative Studio, our in-house creative agency, where you'll help bring global campaigns to life across channels and platforms. As the operational backbone of the team, you'll keep work moving, ensure the right people are connected to the right projects, and create the structure that allows creativity to thrive - in a collaborative, fast-paced environment delivering exceptional work for a global brand.
This role is designed as a pathway into Project Management. You'll own intake, traffic and resource coordination across the team, take end-to-end ownership of smaller projects, and support our Project Managers on larger initiatives. From day one, you'll have real responsibility while building the skills and experience to grow your career in Creative Operations and Project Management.
About the Role
Creative Studio partners with Marketing, Digital, regional markets and external agencies to produce and deliver creative content across channels.
Reporting to the Director, Creative Operations, you'll be the first point of contact for incoming work, managing requests from intake through assignment and ensuring visibility across the team's workload. You'll collaborate closely with Project Managers, creatives, marketers and external partners in a fast-paced global environment where priorities shift and strong coordination keep work moving.
Key Responsibilities
Traffic & Resource Management
Own the intake process by triaging incoming requests, managing briefs, and assigning work to the appropriate team members.
Maintain the request queue and workflow tools (e.g. Aprimo, Asana), ensuring projects and priorities remain visible and up to date.
Monitor team workload and capacity against incoming work, flagging bottlenecks, scheduling conflicts and delivery risks early.
Project Coordination
Lead smaller projects from brief through delivery, ensuring timelines, deliverables and stakeholders remain aligned.
Support Project Managers on larger initiatives - timeline management, status reporting, meeting coordination (kick-offs, status meetings, milestones), documentation and follow-up actions.
Drive timely approvals, feedback and signoffs to keep projects moving forward.
Liaise with Marketing, regional markets and external partners to coordinate deliverables, dependencies and timelines.
Operations & Continuous Improvement
Coordinate freelancer administration, including contracts, purchase orders, onboarding, system access, budget tracking and logistics, partnering with Project Managers who lead freelancer sourcing and booking.
Support governance activities, including Business Review Meeting updates, partnership reporting and operational reporting.
Help improve project management processes, templates and ways of working across the Creative Studio.
What You'll Bring
1-4 years' experience in traffic management, resource coordination, project coordination or junior project management within a creative agency or in-house creative team.
A genuine interest in building a career in Creative Operations and Project Management.
Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously.
A proactive, ownership mindset - service-oriented, takes initiative, and follows through independently.
Strong problem-solving and communication skills - confident identifying risks, escalating when needed, and collaborating across global, cross-functional teams.
Strong Microsoft 365 skills, particularly Excel, and confidence learning new systems and workflows.
Experience supporting budgets, purchase orders and contract administration.
