Your responsibilities as Receptionist:

 

• Welcoming visitors and guests, connecting phone calls

• Taking care of meetings and conference rooms

• Managing meeting room reservations and ensuring they are properly prepared

• Keeping record of incoming and outgoing documents

• Preparing correspondence to be sent by mail or courier

• Distributing the post inside the office

• Ordering office supplies and food/catering (selecting appropriate suppliers and conducting negotiations)

• Caring for the efficiency of office equipment (copiers, fax machines, coffee machines)

• Reporting repairs and ordering required service for office machines

• Taking care of archiving documentation

• Settlement of invoices related to the administration area

• Organizing car cleaning services

• Organizing internal events and small celebrations (e.g., birthday breakfasts)

• Managing access cards (issuing, blocking, updating records)

• Handling desk booking system (granting/revoking access, updating reservations)

• Preparing regular reception and admin reports

• Carrying out additional and evolving tasks assigned by the Manager - including support for onboarding/offboarding, assistance in office initiatives, internal communication support, and other projects offering opportunities for growth and development

 

We are a perfect match if you:

• Have proven experience in a customer facing role in a dynamic work environment that demands the ability to prioritize tasks, manage multiple responsibilities simultaneously and consistently meet deadlines (receptionist or office support experience is nice to have)

• Are fluent in both English and Polish, with strong communication skills in both languages

• Have good knowledge of Microsoft Office tools

• Are passionate about collaborating with others and contributing to a positive team dynamic

• Have great customer service skills, positive attitude, strong problem-solving skills and a results-driven mindset focused on getting things done

 

We offer:

  • limited contract of employment through Agency for 3 months

  • possibility to extend the cooperation on permanent contract basis

  • work on site model (in the office)
