We are now looking for an Associate Specialist (Administration) to join our Administration Team.

In this position, you will support daily office operations, business travel processes, purchasing and invoicing, as well as various office initiatives and events.

 

Key Responsibilities

  • Business travel coordination:

managing the AMEX system (account creation, flight and hotel bookings, expense settlements, visa support, travel advances)

  • Purchasing and invoice processing:

handling mobile phones, company gadgets, and processing invoices for all Admin orders in Basware and Acubiz systems

  • Fixed assets management:

registration, assignment, inventory, and disposal in the Optiest system

  • Office evets calendar planning:

leading the Office Team group, planning, coordinating, and communicating office initiatives and events

  • Internal administration and office processes:
  • managing the Pandora Ambassadors & Friends employee program, overseeing the company archive and showroom, and coordinating Pandora gadgets and promotional materials
  • Administrative procedures coordination:

verifying, updating internal administrative policies and procedures

  • Business Continuity Planning (BCP) coordination:

preparing, maintaining, and reporting the continuity plan, organizing tests and trainings and collaborating with global teams (Shanghai, Mexico)

  • Participation in administrative onboarding and trainings for new employees

•      Daily office operations support and cooperation with the reception team (acting as backup when needed)

 

 


You are a perfect match, if you have:

 

 

  • Minimum 2 years of experience in administrative, office, or team support roles 
  • Proactive approach and ability to work independently
  • Reliability and accountability for assigned tasks
  • Very good command of English (spoken and written) – daily communication with global teams
  • Strong attention to detail and accuracy
  • Excellent organizational skills and ability to prioritize effectively
  • Strong communication skills and ability to collaborate with various teams (Finance, HR, Reception, Global Teams)
  • Flexibility and openness to handle diverse office-related tasks
  • Good knowledge of Microsoft Excel and the Office suite
  • Willingness to learn and continuously improve administrative processes
