About the Team:

 

We are seeking an Executive Assistant who is fluent in French Canadian (both written and verbal). The Executive Assistant will provide high-level administrative, operational and Translator support to the Country VP, Canada. You will be the point of contact for internal and external stakeholders and will serve as liaison to the North American Leadership team and other senior-level leaders locally and globally.  

  

This position requires strong project management skills with the ability to prioritize workload, demonstrated success working under pressure in a fast-paced environment and ability to manage highly confidential and critical information.  The role requires a proactive thinker who can anticipate the needs of the leaders.  

 

You will also support with local translation, carefully reading and comprehending the context of the given material, utilizing specialized dictionaries and translation tools, and meticulously proofreading the final translations.

 

To be successful in this role, this individual must have the ability to build relationships and trust, while working in close partnership with other members of the network, as well as independently on projects, from conception to completion. Experience supporting a global leader and operating in a global environment is highly desirable. 

 

 

Your Role as an Executive Assistant:

 

  • Effectively manages an active calendar, including meetings, appointments, and due dates. 
  • Coordinates travel arrangements (local, domestic, and international), prepares detailed and complex itineraries, and prepares travel expense reports. 
  • Coordinates and prepares for meetings and conference calls, may include responsibility for meeting agendas and managing presentation content.  Attendance in various meetings to take minutes and distribute information. Coordination of meetings which include arrangements for catering, securing meeting space, meeting materials, and any other preparations as needed. 
  • Provides support for leaders in Global office during visits to Canada. This may include booking hotels, arranging car services, organizing store visits, meeting support, and additional requests depending on the nature of visit. 
  • In partnership with the Communications Manager, may be responsible for creating, editing, and proofreading business communications and documents.  
  • Acts as a liaison with all levels of management, directors, department members and internal clients. 
  • Manages projects and deadlines on behalf of the Country VP, Canada.
  • Prioritizes conflicting needs; resolve matters expeditiously and proactively to successful completion. 
  • Proofread translated texts for grammar, spelling and punctuation accuracy.
  • Translate documents into French for use within the local market to include: presentations, content material, documentation, training material, etc.
  • Performs other related administrative duties as assigned.  
  • Occasional work outside of normal business hours may be required. 
  • Ensure the overall office is well kept, A/V in conference rooms are functioning, manage office supplies, meeting room bookings, etc.

  • Bachelor’s degree.   
  • 5-8 years’ experience in an executive assistant role, supporting a global leader or in a global environment preferred. 
  • Must be fluent in English and French Canadian both written and verbal.
  • Must have the ability to identify, prioritize, and manage important administrative tasks, multi-task and effectively prioritize work assignments in addition to handling changing priorities. 
  • Must be flexible, extremely well-organized and detail minded. Adept at follow-through, especially in the management of detail and multiple priorities.
  • Excellent verbal and written communication skills, writing and editing ability focused primarily on correspondence and related documents, highly responsible and sensitive to quick turnaround deadlines. 
  • Excellent proofreading skills with the ability to identify grammar, spelling and punctuation errors.
  • Highest level of interpersonal skills and the ability to interface with senior executives, displaying diplomacy, tact, and resourcefulness. 
  • Must have leadership courage and be comfortable handling challenging situations. 
  • Strong project coordination, project management and problem-solving skills needed. 
  • Ability to recognize and appropriately handle highly sensitive and confidential material and information. 
  • Ability to take self-initiative and be proactive. 
  • Ability to travel to support certain meetings outside of Ontario 2-3 times a year.
  • Ability to work from home initially but transition to eventually work at our Toronto office.

 

 

Toronto,Ontario Salary: $74,000 - $84,000 commensurate with experience
