About the Team:

The Executive Assistant provides high-level administrative and operational support to the Vice President, Ecommerce; Vice President, Merchandising and Strategy; and the Vice President, Finance.  This role serves as a trusted partner to the executives and their leadership teams, acting as a central point of contact for internal and external stakeholders while supporting effective collaboration across the North American Leadership Team and global partners.

 

This position requires exceptional organizational and project management skills, sound judgment, and the ability to manage highly confidential information with discretion. The Executive Assistant must be a proactive, solutions-oriented professional who can anticipate executive needs, manage competing priorities, and operate confidently in a fast-paced, dynamic environment.

 

To be successful in this role, the individual must build strong relationships and trust with leaders, peers, and stakeholders, working both independently and in close partnership with the broader Executive Assistant network. Prior experience supporting Vice Presidents and operating within a cross-functional organization is highly desirable.

 

Your Role as Executive Assistant:

 

  • Proactively manage complex, high-volume calendars for three Vice Presidents, anticipating conflicts, prioritizing meetings, and protecting executive time in alignment with business objectives.
  • Coordinate domestic and international travel, including detailed itineraries, logistics, and timely submission of expense reports.
  • Coordinates and prepares for meetings and conference calls, may include responsibility for meeting agendas and managing presentation content.  Attendance at various meetings to take minutes and distribute information. Coordination of meetings which include arrangements for catering, securing meeting space, meeting materials, and any other preparations as needed.
  • Act as a liaison between executives, their teams, and senior internal and external stakeholders, ensuring clear communication and strong working relationships.
  • Support planning and execution of leadership meetings, team offsites, and visits from global partners, including scheduling, logistics, and on-site coordination.
  • Partner with cross-functional teams such as Inclusion and Belonging, Communications, Finance, HR, and other Executive Assistants to support business initiatives and leadership priorities.
  • Manage projects and deadlines on behalf of the supported executives, tracking deliverables and ensuring timely completion.
  • Exercise sound judgment and confidentiality when handling sensitive and confidential information.
  • Identify opportunities to improve processes, organization, and ways of working within the executive support function.
  • Provide additional administrative and operational support as business needs evolve.
  • Entire EA team supports with office team lunches, holiday party, and any other NAM office needs.
  • Occasional work outside of standard business hours may be required.

New York Salary: $85,000 - $95,000 commensurate with experience
