If yes, then we have an exciting opportunity for you! We are looking an Associate Specialist to join our recently established Global Executive Search team based in Pandora HQ. The team advises and supports our executives and senior leaders on all hiring related decisions for our VP and SVP level positions. We identify, engage, assess, and hire exceptional leaders both from within the business and externally. Strategic workforce and succession planning and talent mapping/pipelining are also part of our scope.
Your role as Global Executive Search Associate Specialist:
You will play a key role in coordinating the activity of Pandora’s Global Executive Search team and facilitate the hiring of senior leaders across all functions and geographies. The role has a broad and varied set of responsibilities, ranging from coordinating each step of the Executive Search process, project management, tracking and reporting, invoice and expense processing, to booking travel and organising team meetings and events.
Your responsibilities include:

Coordinate the end-to-end Executive Search process, including kick-off meetings, group updates, reporting and analysis, and multiple stages of virtual and in-person interviews involving cross-functional stakeholders

Build strong relationship with key internal stakeholders to facilitate a high-quality, swift and seamless Executive Search process

Lead the coordination of our leadership assessment tool as part of the Executive Search process, including request submission and report preparation

Oversee a purpose-built and efficient system for the Executive Search team’s data storage and management

Organise travel arrangements, both domestic and international, for candidates as part of the Executive Search process

Ownership over team budgeting, invoicing and expense processes

Represent Pandora by welcoming and hosting guests at our Global HQ

Support readiness ahead of key meetings (coordinate pre-reads, collect necessary information)

Support ad-hoc projects depending on interest and capacity, including talent mapping and research for specific roles being worked

Support data collection and analysis on team performance and metrics

Support event, training and workshop planning

Take meeting minutes and support summarizing action plans for key meetings

Maintain information and knowledge sharing across project teams and cross-functional colleagues
What is needed to succeed?

Proven experience as a successful Executive Search/Recruitment Analyst or Coordinator, Project Manager or Executive Assistant (EA), ideally within a global organisation

Exceptional organizational skills and attention to detail

Experience coordinating interviews and meetings across large groups and different time zones

Highly proactive with a bias for action and ability to navigate complexity and ambiguity

Ability to multitask, prioritise and operate under time pressure and to strict deadlines

Team player with a very strong drive to collaborate and quickly build relationships

Strong communication skills – articulate, credible, clear, ability to be persuasive

Confident interacting with key internal and external stakeholders

Confident welcoming and hosting guests to global HQ

Comfortable collating and organizing data and statistics

Experience putting together concise summaries, reports and decks

Experience handling invoice processes

Strong skills with Microsoft Office (other CRM/ATS/Project Management software a plus)

Fluent English (additional languages a plus)
