We are looking for a sharp, experienced, and competent administrative employee with focus on excel who can support processes and tasks related to projects in the Design Development team within Global Product at Pandora’s Global headquarters in Copenhagen.


As a Design Development Administrative Coordinator you will use your strong organizational and excel skills to provide administrative support to the Design Development during the development of new collections.

 

You will provide key administrative support across the Design Development Cycle team

  • Support the sample tracking status in excel and Product Lifecycle System (PLM)
  • Coordinate and support on meetings
  • Coordinate sample lend outs and sample handovers to cross-functional teams
  • Take pictures of samples and share with external partners  
  • Work closely together with other teams in the organization, on products, details and
  • changes
  • Proof-reading Product Presentation and Product Magazines  

 

Support cross-functional team in design specs, sizing and documentation

  • Facilitate key cross-functional handovers and sample distribution
  • Support on key product presentations.
  • Prepare and organize product samples
  • Prepare and send out product overviews
  • Updating system and trays with edits and active selection (Excel, PLM and physically)

 

Support Specialists with following tasks

  • Track design sketch launch & delivery plans to ensure the development is on track
  • Monitor number of designs in collections in collaboration with our Thai Product Development Team
  • Updating cross functional collection line plans with design ID,  images and cost
  • Uploading design briefs & updating status in Product Lifecycle System 

 

Keeping track of samples

  • Being owner of sample safe, including safe clean up, sample archive, and sample tray
  • organization.
  • Registering what is going in and out of the team (lend-outs, shipments, handovers)
  • Update trays, system and documents with active and cancelled items (Excel, PLM)
  • Prepare samples and invoices for global shipments
  • Supporting in shipment tracking, custom issues, and sample missing cases. 

 

Assisting on Master Data

  • Item creation (Excel, AX09)
  • Writing product specification descriptions
  • Updating measurements and weights (AX09)
  • Support Global Product team with misc. tasks e.g. sample lent outs, product data
  • product overviews etc.
  • General clean up and organizing office space and delegate tasks to Student Assistant

 

Furthermore, we envision that you have and can demonstrate

  • 3-5 years’ experience within another company in an administrative office role
  • Multitasking and highly supportive attitude in the teams
  • Trained in office administration.
  • Highly proficient with Microsoft Office, with strong emphasis on Excel and PowerPoint
  • Passion for: structure, excel sheets, lists and overviews
  • The ability to work well in a fast paced environment, comfortable with changes in
  • priorities
  • High quality written & verbal communication in English
  • Eye for visual design aesthetics and visual presentations.
  • Strong collaboration skills and team spirit.
  • Interest in design, fashion and jewellery
  • Proficiency in PLM and AX system a plus
  • Product or design experience is a plus.
  • Detail orientated systematic neat-freak

Within our Global Product Business sits our Design Development team, which is a team pf highly skilled and specialize product developers and project managers who every day strive to develop the most beautiful jewellery and concepts. You will be part of the Design Development team, and report to the Design Development Director.
