We are looking for a sharp, experienced, creative and competent employee with focus on the materials and products library coordination, who can support processes and tasks related to projects in the Creative Sourcing team within Global Product at PANDORA’s Global headquarters in Copenhagen. 


Your role

As a Creative Sourcing Coordinator you will use your strong organizational and creative skills to provide administrative support to the Creative Sourcing during the creative process. 

You will provide key support across the Creative Sourcing team:

  • Collect, centralize, organize, preserve and promote the materials and products samples from Creative Sourcing activities.
  • Create and maintain a clear internal systems and databases of materials and products samples (library, archive and documentation).
  • Organize and develop relationships with various functions, from Design team to Innovation and Product Development teams and external suppliers.
  • Organize and develop best practices relating to the in & out flow, cataloguing and lending of materials and products samples.
  • Promote policies and procedures established within the library and Creative Sourcing samples flows.


Assisting on stimulating the creative process:

  • Inspire the creative process and supporting designers research through materials and products samples, but also with visuals, information and communications tools produced (newsletter, digital and physical library, etc.).
  • Actively participate in initiatives aimed at increasing designers engagement with the services offered.


Support on key product presentations:

  • Prepare and organize product samples.
  • Prepare and send out product overviews.
  • Updating system and trays with edits and active selection (Excel, PowerPoint and physically).


Keeping track of samples:

  • Support the sample tracking status in Excel.
  • Registering what is going in and out of the team (lend-outs, shipments, handovers) 
  • Update trays, system and documents with active and obsolete items. Prepare samples and invoices for global shipments 


Ad hoc:

  • Support Creative Sourcing team with misc. tasks e.g. sample lent outs, product data, product overviews, etc. 
  • Collaborate in projects of varying size on Creative Sourcing topics.
  • General clean up and organizing office space.


Furthermore, we envision that you have and can demonstrate:

  • 3-5 years’ experience within another company in a an administrative and materials/products library role.
  • Trained in office administration and librarianship and/or archivist.
  • Knowledge of library cataloging methods.
  • Highly proficient with Microsoft Office, with strong emphasis on Excel and PowerPoint and good digital aptitude.
  • Passion for: jewelry, design, fashion, structure and overviews.
  • The ability to work well in a fast paced environment, comfortable with changes in priorities.
  • Proactivity and innovation applied to the processes and services offered.
  • High quality written & verbal communication in English.
  • Eye for visual design aesthetics and visual presentations. 
  • Strong collaboration skills and team spirit. 
  • Proficiency in PLM a plus.
  • Design experience or exposure is a plus
  • Excellent attention to detail and organizational skills.
