ADMINISTRATION COORDINATOR

 

Your Responsibilities:

 

  • Incoming documents:
    • forwards post deliveries to the addressed person
    • scans and sends hard copy invoices to Basware according to procedure
    • prepares contracts for signature
    • scans signed contracts and uploads to Legal Contract Management (CMS)
    • archives monthly closing documents
    • collects statements and data sheets from stores according to internal money laundring and terrorism procedure
  • Payments and invoices:
    • codes and reviews uploaded invoices in Basware
    • proceeds with manual payment request forms (follows up until payment confirmation)
    • investigates issues of delayed payment/payment notice
    • completes new vendor, vendor change, fixed asset and employee expenses settlement forms
  • Office operation:
    • welcomes guests, partners
    • sends and recieves packages from couriers
    • prepares meeting room for trainings, meetings
    • orders necessary supplies (food and drinks for events, coffee, office stationery, packaging materials for transportation)
  • Tasks:
    • sends monthly report on printed page calculation
    • books flight tickets and accomodation if needed
    • supports the process of new bank guarantee issuing and insurance for opening store
    • proceeds with requested documents in case of any changes in business, which should be registered in council or hallmarking authority
    • orders mobile phone for new store
    • registrates company car issues and needs with the supplier
    • supports the procedure of inventory if needed
  • Recruitment and HR:
    • proceeds with job advertisements
    • supports the procedure of organizing job interviews

 

We are perfect match if you have:

  • Minimum 1 year working experience in an administrative role (experience in the sector of the branded jewelry, fashion or accessories will be an asset)
  • University degree (significant advantage)
  • Advanced MS Office (Word, Power Point, Excel) skills
  • Fluency in English (a must)
  • Ability to manage several projects and tasks simultaneously
  • Excellent verbal and written communication skills
  • A team player approach with high level of dedication
