Receptionist / Office Assistant

As the Office Assistant / Receptionist you will be responsible for managing PANDORA’s front of house reception area to deliver exceptional customer service reflective of our brand and ensure office administration tasks are completed to high standards.

 

We are looking for someone who is dynamic, can anticipate needs, can think critically and can offer solutions to problems with a high level of professionalism and confidentiality. You will ensure the smooth-running of the Sydney office (our Cluster’s regional HQ), working with internal and external clients for the business.

 

Hours include:

  • Monday: 8.30am – 5.00pm
  • Tuesday: 8.30am – 5.00pm
  • Wednesday: 8.30am – 5.00pm

 

KEY ACCOUNTABLILITIES

Reception

  • Ensure the reception area always portrays the desired corporate PANDORA image both visually, and in terms of high levels of internal and external service
  • Answer all incoming phone calls and direct through to correct person/department and take and relay messages when requested
  • Welcome and process all visitors in accordance with internal security procedures
  • Provide beverages for visitors upon their arrival.
  • Ensure the general cleanliness of the reception area
  • Book taxis as requested
  • Great communication skills, as this is a job share role.

 

Other Responsibilities

  • Support on calls and inquiries to the main phone line
  • Order catering for meeting in accordance with company guidelines
  • Keep order of meeting rooms, including set up of rooms for meetings (water, configuration of tables, moving interconnecting walls etc)
  • Arrange coffee machine maintenance
  • Maintain stocks of snack, beverage and kitchen sundries (online ordering)
  • Organise fresh fruit deliveries
  • Maintain Office Supplies
  • Assist with set up of events onsite, including catering
  • Time permitting, provide support to other departments e.g. mail outs for marketing, labelling bags for Picking Room
  • Cooperate with company WHS policies and procedures, and observe and practice safe work methods at all times

  • Excellent MS Office skills, including Excel for analysis and Powerpoint for presentations
