Executive Assistant & Office Manager

The Executive Assistant and Office Manager works directly with the General Manager and the Leadership team across Pacific Greater Asia and is responsible for co-development and facilitating execution of strategic focus areas, larger projects and operational tasks on behalf of the GM and leadership team.

This role is responsible for managing the day to day operations of office operations to ensure facilities, resources, supplies and front of house operations are delivered efficiently, economically and to a high level of internal and external customer service. 



Executive Assistant

  • Responsible for materials, documentation and facilitation of PGA Strategy processes
  • Right hand to GM on a range of projects, tasks and practicalities connected with developing PANDORA Pacific Greater Asia
  • Ad hoc projects for GM leading to higher consistency in the execution of local work, hereunder collection of data, gathering input from stakeholders, preparing business cases, contemplating implementations and change strategies
  • Key sparring partner to GM on all matters
  • Project manager on smaller assignments


Office Manager

  • Manage office expenditure budgets, ensuring accurate and timely reporting.
  • With the support of HR colleagues, ensure the office is WHS compliant and take action as required.
  • Office inductions to all new starters
  • Work with IT department to ensure that all office equipment is maintained as required.
  • Manage the provision of catering in line with budget and policy guidelines (morning teas, birthday breakfasts and meetings)
  • Provide back-up reception service or organise cover in the absence of receptionist.
  • Oversee the configuration of desk layouts and issue name plates.
  • Support with the execution of office reconfigurations or special projects as required e.g. new meeting spaces
  • Serve as a point of contact in the event of security emergencies.


Pivotal and professional qualifications:

  • 3-5+ years of work experience
  • Experience from environment with many stakeholders i.e. consultancy
  • Well-developed presentation skills, both verbal and written
  • Line management experience desirable
  • Experience of managing multiple priorities successfully
