Job Summary:
The HR Operations Specialist will be responsible for ensuring the smooth and efficient operation of the HR department, with a focus on employment contracts, onboarding, mutual agreements, follow-up on probation forms, and data entry in SuccessFactors. This role involves optimizing current HR processes to improve efficiency and employee satisfaction. The ideal candidate will have a keen eye for detail, excellent organizational skills, and a passion for enhancing the employee experience.
This role is part of a collaborative HR Operations team, where each HR Ops Specialist has their own focus area but also contributes to shared responsibilities. The team works closely together to ensure consistency and excellence in HR services across the organization.
Key Responsibilities:
- Employment Contracts:
- Prepare, review, and manage employment contracts for new hires, ensuring accuracy and compliance with legal and company standards.
- Maintain and update contract templates in line with changes in labor laws and company policies.
- Onboarding:
- Facilitate the end-to-end onboarding process for new hires, ensuring a positive and engaging experience.
- Organize and deliver onboarding days, including orientation sessions, introductions to company culture, and team-building activities.
- Coordinate with various departments to ensure a seamless transition for new employees, including IT setup, workspace arrangements, and training schedules.
- Mutual Agreements & HR Documentation:
- Draft, manage, and maintain mutual agreements.
- Ensure proper documentation and storage of agreements in the HR database, ensuring easy access and compliance with data privacy regulations.
- Follow-Up on Probation Forms:
- Track probation periods and coordinate with managers to ensure timely completion of probation review forms.
- Provide support in the evaluation process by gathering feedback, preparing necessary documents, and ensuring adherence to the company's probation policy.
- Data Entry in SuccessFactors:
- Accurately enter and update employee data in SuccessFactors, including personal details, job changes, and compensation information.
- Maintain data integrity by performing regular audits of the system and making necessary corrections.
- Generate reports and provide insights using SuccessFactors to support HR decision-making and reporting needs.
- Process Optimisation:
- Analyze current HR processes and identify areas for improvement to enhance efficiency and effectiveness.
- Implement best practices and innovative solutions to streamline HR operations, reduce administrative burden, and improve overall productivity.
- Collaborate with the HR team and other departments to ensure that updated processes align with company goals and objectives.
- Shared Team Responsibilities:
- Support other HR Ops Specialists in their areas during peak times or absences to ensure continuity in service.
- Contribute to team projects and initiatives aimed at improving HR service delivery.
- Participate in regular team meetings to discuss challenges, share updates, and ensure alignment in HR practices.
Qualifications:
- Bachelor’s degree (Human Resources, Business Administration, or related field preferred)
- 3+ years of experience in HR operations, with a focus on employment contracts, onboarding, and process improvement.
- Exposure to HR policies, labour laws, and employment regulations.
- Proficiency in HRIS systems and MS Office (Excel, Word, PowerPoint). SuccessFactors an advantage
- Excellent organisational and time-management skills with a strong attention to detail.
- Strong interpersonal skills and the ability to communicate effectively with employees at all levels.
