About the role

The Property Support Coordinator is primarily responsible for maintaining accurate lease data, overseeing lease controls and compliance, and managing key reporting activities across the Asia Pacific operating network. The role ensures the integrity of all documentation and financial records related to property operations.

 

The ideal candidate will have strong operational capabilities and hands‑on experience in managing real property databases, payments, insurance policies, indexation, and master data creation. The role also includes overseeing and executing maintenance‑related workflows for all stores to uphold the brand’s quality, standards, and care.

 

In addition, the Property Support Coordinator will support the Manager in various real estate processes, including store leasing activities for both Distributor Partners and Owned & Operated (O&O) stores. Responsibilities also include maintaining an organized electronic filing system for all real estate‑related documents; initiating vendor creation requests; organizing payment documentation; and coordinating with vendors, including sending lease agreements and processing deposits, rental payments, and other related transactions.

Key areas of responsibilities

  • Maintains lease database and works with outside vendor to extract leases for database
  • Handle and provide follow up on typical lease related issues
  • Review all Rent, CAM and Tax billings for lease compliance
  • Read and review Lease Agreements and Amendments to reconcile all lease related charges such as Operating Expense Statements, CPI increases, Common Area Charges and Real Estate Tax invoices to ensure lease compliance and accuracy
  • Reconcile monthly landlord statements
  • Works with Legal, Insurance vendor, and Landlords to keep Insurance Certificates current and on file upon expirations
  • Supports leasing process of both new and renewal stores with Manager
  • Demonstrates ability to interact and cooperate with all departments and stakeholders
  • Works well with Legal, Landlords, Distributor Partners, and Vendors to support the department and company goals
  • Monitor and structure the projects of the property department seeking cost reduction and process optimization
  • Process recurring rent, monthly utility charges, tenant services payments and other monthly billings
  • Prepare and analyse the information to executive reports
  • Plan, develop and execute rent forecasts and budget projections with the finance team and any additional areas involved in the process
  • Act as primary point of contact with all field offices in Asia Cluster (mainly Japan and Singapore) to provide support in all aspects of Facilities Management
  • Store visit, when required
  • Oversight and work directly with all aspects of facility operations related to issues that include the day-to-day operations of the facilities(s), vendor relationship, maintenance of the buildings, grounds, custodial services, electrical, HVAC, safety, and miscellaneous tasks as necessary.
  • Other assignments when required

 

What are we looking for

  • Bachelor’s degree in real estate, business, or similar field and/or equivalent professional experience
  • 3 – 5 years of relevant working experience
  • Highly organized and ability to adapt to quickly changing priorities
  • Skilled negotiator with a proven ability to engage and collaborate with stakeholders at all levels, fostering strong and sustainable partnerships
  • Ability to communicate effectively with Landlords and Distributor Partners
  • Self-motivated and driven towards achievement of long-term goals and willingness to learn new skills
  • Thrives in fast‑paced environments, delivering high‑quality work within tight timelines while keeping a positive and collaborative mindset
  • Possessing solid business acumen including experience working with mall developers
  • Demonstrated ability to interpret and analyse shopping centre leases, including key terms, obligations, and compliance requirements
  • Strong understanding of managing and maintaining data through different Database tools
